Answers to frequently asked questions

It is not possible to log in to Kampas.

Maybe your password is wrong. Click on 'Forgotten password', you will receive (often in the spam folder) an email to create a new password.

Maybe you haven't confirmed your email address yet. After registration you will receive a first message from info@kampas.be to verify that your email address is correct. You do this by clicking on a link (which remains active for seven days). You cannot log in without a verified account. Also look for this email in your spam folder. Can not be found? Please contact info@kampas.be.

Do you have a current booking but have you forgotten the email address you used to create your account? Send an email to info@kampas.be.

The operator asks for a list of participants. Is that possible in the context of the protection of personal data?

A justified question, especially in times when a lot of attention is rightly being paid to the privacy and protection of personal data. But an operator of a tourist accommodation such as a youth center has a clear legal basis to request data from each of your participants. Resident groups are obliged to provide this information truthfully.

The operator is bound by the law of 1 March 2007 "containing various provisions" (articles 141 to 147). This is further explained in "the Royal Decree of 27 April 2007 on the registration and control of travelers staying in a tourist accommodation.” According to the GDPR regulations (protection of personal data), the operator must keep this information to comply with the stated legislation (not for other purposes).

Comprehensive data is requested from "every adult and unaccompanied minor over 15 years old". Because adults must always be present in a group and all minors can therefore be regarded as accompanied, we set the limit for youth tourism at 18 years. From the age of 18, the following information is required: surname, first name, place of birth, date of birth, nationality and identity card number. For Belgian participants surname, first name and national register number will suffice. For children up to the age of 17, surname and first name suffice.


Why can't I (yet) make a booking?

Anyone who creates an account on Kampas must confirm the email address used. You will receive a message in your mailbox (sometimes in the spam folder) with a link that remains valid for seven days. Didn't receive a message? Please contact info@kampas.be.

Already confirmed your account, but no improvement? Those who are not 18 years old cannot conclude a rental contract and therefore cannot book. So check your profile to see if your date of birth is set correctly.

Over the age of 18 and still unable to book? As long as you are not a confirmed member of a group, you cannot make any bookings. Anyone who becomes a member has access to group and personal data. Anyone who is already a member of your group must therefore first confirm that you may also join. Each confirmed member of the group will receive a message to this effect in the mailbox. Once someone has approved your request, you can also make reservations yourself (and view the reservations of the other members).

Perhaps there will be no response from the other members. Please contact them directly, the message from Kampas may have ended up in their spam folder. Isn't that also a solution? Mail to info@kampas.be, preferably with proof that you are indeed a member of the association or organization. Kampas can activate your membership.


I cannot make a second booking during the summer holidays.

That's right, you probably want to book different locations for an identical period. In July and August, each group can only submit one application for the same period. If you want to make a second booking for your group, you must wait until the first request has been approved or rejected by the operator. This is also the case when you are active with different personal accounts for the same group. This way we prevent groups from unnecessarily blocking different periods for others.


I'm not sure yet if we will book, but I would like to take an option on a period. Is that possible?

It is up to each operator whether or not to respond to a request for an option. You can inquire via the 'contact operator' button. You can call the responsible bookings or use the contact form and select the option 'about my reservation'.


The link in the email to view my invoice or agreement does not work.

For security reasons, the links in email messages remain valid for a maximum of seven days. Your documents will always be available in your account. Sign up, click on the menu at the top right and select 'bookings'. Click on your reservation and there you can find all information and documents.


I still receive emails about a reservation, but I am no longer active in the group for which I have booked. What now?

Once you have created the booking, you remain the contractual tenant on all documents. It is possible to change the contact person for a booking, so you will ensure that others in the group receive the information and documents. Register for this on Kampas. Go to 'Bookings' via the menu at the top right. Click on the booking and change the contact person there.

Attention, you can only make the change to someone who is also a member of your group. The other person must therefore have an account on Kampas and become a member of the group. With an application you will receive a message to accept the new membership. Once that has happened, you can also transfer the booking.


How are the rental prices composed?

Kampas offers target prices that only become final when an agreement is drawn up.

Operators with self-catering accommodation establish this target price for the rental of the entire accommodation per night or per person per night. In self-catering, extra costs (energy, waste, water, etc.) are often not included in the rent. At 'extra costs' you get insight into the unit prices, the effective cost usually depends on consumption.

Operators with full board accommodation calculate the target price per person and per 24 hours. This means that you will receive an indication of the price for one participant's overnight stay with breakfast, lunch and dinner. You can always request the effective prices as a quote from the operator.


I would like to see the prices that apply to my type of group, but I can't.

That's right, the type of group determines your price category. We recommend that you create a personal account on Kampas and also link your account to your group. Kampas will determine the correct price category based on the group information you provide during registration. If you log in afterwards, you will always see the correct (price) information.

If you do not want to create an account, you can also check the price differences between the different group categories. Above the price table of each accommodation you can select the year and the price category on the right. The pricing table automatically changes the view. If not, please refresh the web page.


We would like to visit the location before making a reservation, how do we make an appointment?

It is always a good idea to view the accommodation before making the actual reservation, especially if you want to stay there for a longer period of time. Our website tries to provide a good insight into the location, but only a site visit guarantees the perfect introduction. Kampas cannot plan that visit, it is handled through the exploitation. Click on 'contact owner'. There you can send a message to the exploitation, select at 'What are you contacting for': for a viewing. If the operator has provided a telephone number, this will appear at the top of the contact form.


When and how do we get our deposit refunded?

The collection and repayment of a deposit is done by the operator or by Kampas. In the first case, the operator also determines when you will receive the deposit back, feel free to ask about this upon departure. If you have a rental contract through Kampas, Kampas also collects the deposit. To prevent unnecessary back-and-forth payments, this guarantee is used when settling any additional costs. Should your deposit be refunded, this will be done within fourteen days.

The refund will be made to the account number with which your group made the last payment to Kampas. Do you work with different account numbers within your group? Then you have to consider whether it is better to create different groups (for example per branch of your youth movement). If you want to do it that way, please contact Kampas. By default, we do not accept different groups for the same association.


It is not clear, will I get a refund of the deposit or do I have to pay extra for extra costs?

Contact the operator for clarification. If your rental contract was through Kampas, you will receive a proposal for settlement of the extra costs. A negative (below zero) closing balance means you will receive a refund. Once approved, that proposal becomes a credit note or an invoice.


Our organization (school, government) has an order form procedure, how can we ensure that this also runs smoothly for invoices from Kampas?

Kampas asks for quick payment, to prevent groups from blocking the calendars for others for an unnecessarily long time. A government or school sometimes needs a little more time due to the procedures that require payment of invoices. We have developed an approach to work together smoothly.


What if we are confronted with COVID-19 (Corona) in the group?

Don't make the choice to cancel too quickly. When the affected participants stay at home, the others can enjoy a safe and pleasant stay. If you are considering canceling, the approach will be determined by the conditions that you can find in the rental agreement. Not very clear? Please contact the operator.

Booked online through Kampas? Then the General Terms and Conditions of your contract state that illness and/or mandatory quarantine of one or more members of the group (including supervisors) cannot be regarded as force majeure. Termination of the contract is only possible under the normal conditions. A government ban on multi-day initiative of your group can be regarded as force majeure.

Always inform Kampas via info@kampas.be if your stay will not take place. Please state your file number. If you want to claim a force majeure arrangement, please provide us with the necessary information about the specific situation. In the event of force majeure, your previous payment will be converted into a voucher (KAMPAS budget), which you can use for one or more new reservations within a period of two months.

For the sake of completeness: if you have to stop the initiative on site due to COVID-19, no accommodation costs will be refunded.
